How to set up the HRIS integration using Merge

Use Merge to connect with your HR system and keep employee data in sync automatically.

Before you start

  • You must be a Super Admin in Qarrot

  • You must have admin access to your HRIS system

  • Your HRIS must be supported by Merge

Step 1: Connect your HRIS to Qarrot

  1. In Qarrot, go to Manage > Settings > Integrations

  2. Navigate to the HRIS section

  3. Click Connect

  4. A pop-up window will appear, allowing you to select your HRIS provider from the list

  5. You’ll be redirected to your HRIS to authorize the connection via Merge

  6. Once authorized, you’ll be returned to Qarrot and see the integration marked as Connected:

💡 The authorization screen may look different depending on your HRIS, but the flow will be similar.


Step 2: Sync your employees

Once your HRIS is connected:

  1. Go to Manage > People

  2. Click Sync People:

Qarrot will pull employee data directly from your HRIS.


Important: How this integration works

This is a one-way integration.

All employee management actions must be completed in your HRIS first, then synced into Qarrot.

This includes:

  • Adding or inviting new employees

  • Updating employee profile details

  • Deactivating or terminating employees

Changes made directly in Qarrot will not sync back to your HRIS.

To apply updates in Qarrot, always click Sync People after making changes in your HRIS.


Employee data synced to Qarrot

During each sync, Qarrot pulls the following fields from employee records in your HRIS:

  • Employee Number

  • Work Email

  • First Name

  • Last Name

  • Start Date

  • Date of Birth


Troubleshooting & tips

  • If an employee doesn’t appear in Qarrot, confirm they are active in your HRIS, then run Sync People

  • If profile details look incorrect, update them in your HRIS first and re-sync

  • If you recently connected your HRIS, the first sync may take a few minutes depending on your employee count
